How to Choose Spare LED Modules for Event Furniture Rental

Different furniture shapes may share one lighting platform. Two identical-looking cubes bought in different batches may use different versions. Check the underside instead of ordering by the shape of the furniture alone.

Start with an underside photo and the outside diameter of the original module. Keep the model number, if visible, and a photo of its charger and remote. The module must fit the furniture opening and mounting points, with space for the part that goes inside. Vcan can help check these details and recommend the appropriate unit.

Keep the configuration with the model name.

The same Vcan module platform can be supplied with different LED quantities and battery capacities. Depending on the model and order, control method, magnet arrangement and white-light colour can also differ. Matching the housing name alone does not establish that two units have the same brightness, runtime or controls.

If the original specification is available, send it when reordering. If it is missing, tell Vcan how the product is used and the operating time you need. What belongs in a spare-parts kit?

Complete replacement modules

A complete lighting assembly is a practical spare when the original unit has failed and the furniture allows removal. Compare the Vcan LED module range against your confirmed requirements. Ask which battery and accessories are included in the quoted configuration.

Matched chargers or induction bases

Direct-charge modules need the specified power supply and connection. Induction-charge modules need a matching charging base. Label the charging equipment with the module group it supports. A similar plug or charging pad is not enough to confirm compatibility.

Remotes, sealing rings and fixing screws

Keep a known-working remote for each confirmed control system. Include suitable sealing rings and screws where the installation requires them. Vcan can help identify the correct parts. A matched replacement LED kit can be easier to manage than separately sourced parts, but its exact contents should be stated in the quotation.

Plan spare quantities around your bookings.

There is no fixed spare percentage that suits every rental fleet. Consider how many units of each type go out together, the time between bookings and the replenishment time for that configuration.

• Prioritise module groups used in your busiest furniture items.
• Test a sample before purchasing a larger replacement batch.
• Record confirmed faults and parts used, then adjust quantities from your own service history.
• Check current stock or production lead time for the exact configuration before relying on it for an event.

A standard version and a customised version may have different availability. Keep them distinct in purchasing records, even if they share a housing or model reference.

Test before dispatch.

A short check in the workshop helps identify problems before the furniture reaches the venue:

1. Inspect for visible damage and charge using the specified equipment.
2. Switch on and test the colours or white-light setting needed for the booking.
3. Check response to the intended remote.
4. Check the module is secure and inspect the charging-port closure and visible sealing parts.
5. Label items needing attention and keep them separate from ready-to-rent furniture.

Assess operation under the intended brightness and lighting mode when planning an event. Battery age and configuration affect runtime. Do not continue using or charging a unit with swelling, unusual heat or damaged wiring.

Keep old and new versions distinguishable whenever the LED quantity, battery, charging connection or control system changes. A labelled photo record makes reordering easier and helps Vcan check an uncertain version.
